Most Common Forms of Compelling Evidence

The reason code will help you understand why the cardholder is disputing the transaction and how you can counter the cardholder’s argument. Examples of compelling evidence usually include:
- A legible copy of the sales receipt or order form
- Tangible indications the customer is satisfied with the purchase
- Anything that proves the quality of the items or services was acceptable
- Proof that the delivery of a product was completed successfully or that a service was rendered in full (doesn’t necessarily require a signature confirmation)
- Proof that the item was delivered to an address with an AVS Y or M match
- Indications that previous transactions from the same IP address, email address, physical address or telephone number were undisputed
- Proof the purchase was made by a member of the cardholder’s family or household
- A checked “accept” box or signed confirmation for the use of Dynamic Currency Conversion
- Disputed transactions conducted with a business credit card will require proof that the cardholder worked for the company at the time of purchase (company email/IP address or a listing in the company directory)

When Chargebacks Are Filed Against You
After reviewing and approving the cardholder’s transaction dispute, the issuer will send the chargeback along to the acquirer. After debiting the merchant’s account, the acquirer will notify the merchant in writing (a form usually called Chargeback Debit Advice, Chargeback Adjustment Advice or Chargeback Advice).
Because your acquirer will send the Chargeback Advice letter on the same day your account is debited, you might noticed the bank account adjustment before the written notification arrives in the mail.
Depending on your acquirer, some or all of the following information will be included in the Chargeback Advice letter:
- The chargeback reason code.
- The transaction amount and the chargeback amount. A chargeback can be filed for the full or partial amount, but cannot exceed the amount of the original transaction.
- The action(s) already completed by your acquirer.
- The deadline for submitting representment documents.
- The adjustment date (or date the chargeback was received by your acquirer).
- The case number assigned to the chargeback. Include this number on all relevant documentation submitted with the rebuttal letter.
- The cardholder number (or credit card number) for the transaction.
- The 23 digit identification (or reference) number assigned by the card network when the transaction was processed.

There isn’t a lot of available space to state your case on the Chargeback Adjustment Reversal Request. Feel free to elaborate in a professionally typed letter on an additional sheet and write, “see attached document,” in the section provided.

Often times, chargebacks seem to emerge out of the blue. In fact, the cardholder can sometimes wait up to 120 days to dispute a transaction.
